Student Trustee Code of Conduct

Purpose

The purpose of this procedure is to outline the expectations and responsibilities of all conference attendees, including Student Trustees and chaperones, during professional development conferences hosted by OSTA-AECO.

Definitions

  • Harassment includes offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Code of Conduct

Please carefully read the Student Trustee Code of Conduct. Agreement to abide by this code is mandatory for all conference attendees. This code of conduct was created with student trustees’ safety and well-being in mind. 

I hereby agree to abide by the following rules.

I will:

  1. conduct myself in a respectful manner;

  2. use appropriate language;

  3. not cause another person to feel inferior, degraded, bullied, through including, but not limited to, discrimination, racism, sexism, homophobia, and harassment;

  4. not consume any alcohol or controlled drugs;

  5. return to the hotel by 23:00 local time and will not leave the hotel after 23:59 local time, or after completing check-in, whichever comes first;

  6. treat all supervisors, including the OSTA-AECO Board of Directors, with respect and abide by any rules they set out that are in the interest of my safety and well-being at the conference;

  7. sleep/rest only in the room assigned to me;

  8. abide by the codes of conduct set out by the host venue;

  9. abide by the codes of conduct set out by my school board for out-of-school excursions;

  10. not invite unauthorized individuals to the conference space or hotel rooms included in OSTA-AECO’s rooming block;

  11. report any unauthorized individuals present in the conference space, including in hotel rooms belonging to student trustees, to the Board of Directors. Exceptions include the Board of Directors or individuals invited by the Board or Executive for the purpose of attending the conference.

  12. report any misdemeanours or violation of the above codes to the OSTA-AECO conference supervisors, hotel security, and/or conference security immediately. 

I understand that:

  1. the OSTA-AECO Board of Directors will be supervising the conference in the interest of my safety and well-being;

  2. night-time attendance will be completed nightly and that random room checks may also occur to ensure that all conference attendees are in compliance with item (6);

  3. I must abide by all policies of OSTA-AECO regarding conference attendance;

  4. I must sign in at the Board of Directors’ hotel room between the hours of 22:00 and 23:59, and if I fail to do so, the conference supervisors will follow all precautionary steps detailed in all OSTA-AECO policies regarding conference attendance;

  5. participation at this conference is dependent on my ability to abide by this code of conduct at all times from my arrival until my departure;

  6. I am not only representing myself but my entire school board;

  7. my failure to comply with any items above will result in my exclusion from activities, or, if deemed necessary by the Board of Directors, will result in my immediate removal from the conference at my expense or the expense of my Board;

  8. further consequences could result if deemed necessary by conference supervisors and/or hotel staff; and

  9. my Director of Education and/or parent(s)/guardian(s) will be contacted immediately should a violation of this code of conduct be made.

  10. Photos taken at OSTA-AECO events are the property of OSTA-AECO and may be used at the organization’s discretion

By checking this box, the undersigned parent/guardian and Delegate hereby acknowledge:

  1. that the information on this page has been filled out to the best of their knowledge;

  2. that neither OSTA-AECO nor its members shall be liable for any personal injury to the above-stated conference attendee; and

  3. that the undersigned shall take full responsibility and reimburse the host venue or OSTA-AECO for the cost of repairing or replacing any property of the respective premises which the conference attendee has damaged or destroyed.

Student trustees will be refused attendance to the conference if this form is not completed and submitted to the conference organizers by the beginning of the conference.
